The Proposed Billing Report provides a preliminary invoice that outlines the expected charges for services before the completion of the work week(s). Acting as an estimate, this report offers customers an advanced view of what they will be billed for, enabling better financial planning and transparency. The report includes the following details:
- Client Name: The name of the client receiving the services.
- Invoice Number: A preliminary invoice number assigned to the report.
- Employee Name(s): The names of employees who worked at the specified work site.
- Shift Dates/Times: The dates and times of the shifts worked by the employees.
- Earning Code Type: The type of hours worked, categorized as regular, overtime, or holiday hours.
- Billed Hours: The total number of hours worked during the shifts.
- Bill Rate: The billing rate associated with each shift.
- Total Billing Amount: The calculated total for each shift, determined by multiplying the billed hours by the billing rate.
- Summary Totals: A summary at the bottom of the report detailing the total hours worked for each earning type (regular, overtime, holiday) and the applicable sales tax amount (if any).
This report is helpful for providing clients with an upfront estimate of their billing, ensuring transparency and reducing potential disputes before final invoicing.
How to build it...
Go to the tab "Invoice", you will see the option "Invoice Report"; open the tab and you will see the button "Reports", click the option "Proposed Billing Report" and set the filters for you to input the information desired for the system to build the report.
Filters it contains:
- Branch = Single or Multiple Selection
- Account = All, Single, or Multiple Selection
- Invoice Frequency = Weekly, Bi-Weekly, Monthly
- Date Range
- Sort By = Client Name or ID
Once you select the filters and click the button "Download" the report will be automatically downloaded to your device in PDF format.
