To set up a Company PTO (Paid Time Off), navigate to the 'Company' Module and click "Paid Time Off". Once on the tab, you will click the green [+ New]
- PTO Fields
- PTO Description: Name to identify the PTO
- PTO Earning Code: an EDM for the PTO to show on checks. (Needs to be an 'Earning' sick or vacation)
- Accrual Basis: Hourly or period-based accruals
- Accrual Earnings Group: This will be the EDM group the system will use to calculate how many hours are accrued. Any hours worked by EDMs in that group will be multiplied by the PTO Rate to calculate accrued hours.
- Accrual Minimum Hours: This will be the minimum hours to be considered for the PTO calculation
- Accrual Maximum Hours: This will be the maximum hours to be considered for the PTO calculation
- Reset Period: Determines when PTO resets. Note: All accrued PTO is reset to 0 unless there is a carryover assigned.
Once you have completed all fields, click [Save]. There are additional steps required to complete the setup. On the PTO you created. Select the yellow [Pencil] Icon.
You will see a new option at the bottom to add a 'PTO Rate'. Press the green [+] to add one.
PTO Rate Fields:
- Minimum Month: The minimum amount of months an employee must have worked before they start to accrue hours
- Maximum Month: The maximum amount of months an employee must have worked to still accrue at this rate.
- Rate: The rate at which the employee accrues PTO.
- Carryover: This determines the amount of PTO hours that carry over when the PTO resets.
- Annual Maximum: The maximum hours they can have accrued.
Once complete, click the green [Save] button to save your progress.
Note: You are able to add multiple PTO Rates so that the PTO behaves differently based on the employee's tenure.
